You hold your smartphone up to a ballpoint pen. One second later, a landing page opens. No typing, no scanning, no app download. Just tap and done. Behind it is an NFC chip. And this small chip is changing what a promotional item can do.

How does an NFC chip in a promotional item actually work technically? What exactly happens in that one second? Why does the chip need no battery? And why can the content be changed after production? All explained, without assuming any technical background.

What Is NFC, Exactly?

NFC stands for Near Field Communication. It is a wireless transmission technology that works over very short distances. Maximum 4 centimetres. That sounds limited. But that is precisely the advantage: nothing happens accidentally.

You probably already know NFC from contactless payments. When you hold your smartphone or bank card to a reader and the payment is processed instantly: that is NFC. The same technology is built into smart promotional items.

NFC is not a new toy. The standard has existed since 2004. Since 2014, NFC has been built into the majority of all Android smartphones. Apple integrated NFC from the iPhone 7 (2016) onwards and fully opened it to third-party apps with iOS 14 (2020). The result: today, over 85 percent of all smartphones worldwide have NFC built in. Your target audience can use NFC promotional items without any preparation.

The NFC Chip: What Is Inside the Promotional Item?

Inside the promotional item itself is a passive NFC tag. Passive means: no battery, no own power supply. The chip is completely inactive as long as no smartphone is nearby.

As soon as a smartphone comes within 4 centimetres, the device generates a weak electromagnetic field. This field supplies the chip with just enough energy to transmit its stored data. This takes less than one second. After that, the chip is inactive again.

The most widely used standard for interactive promotional items is the NTAG213 chip. It stores up to 144 bytes of data. That sounds small. For a URL (for example a web address), it is more than sufficient. For more complex content or encrypted data, there is the NTAG215 (504 bytes) or the NTAG216 (888 bytes).

In an NFC ballpoint pen, this chip is embedded in the barrel. In an NFC business card, it is laminated between two layers of material. In an NFC sticker, it sits beneath the printed surface. From the outside, you see nothing. The promotional item looks like any other.

What Exactly Happens When Someone Holds Their Smartphone Up to It?

The process in five steps, all of which take place in under one second:

Step 1: The Smartphone Generates a Magnetic Field

As soon as the NFC module in the smartphone is active (on most devices permanently active in the background), it emits a weak electromagnetic field. Range: up to 4 centimetres.

Step 2: The Chip Is Supplied with Energy

The magnetic field induces a voltage in the chip. This energy is sufficient to briefly activate the chip. No battery required. The chip can theoretically function indefinitely without maintenance.

Step 3: The Chip Transmits Its Data

The activated chip transfers its content to the smartphone. In a typical NFC giveaway, this is a URL, meaning a web address. The transmission speed is between 106 and 424 kbit/s. For a short URL, this takes fractions of a second.

Step 4: The Smartphone Processes the Data

The smartphone receives the URL and automatically opens the default browser. No pop-up, no confirmation, no app. Simply opens. The user lands directly on the target page.

Step 5: The Digital Action Begins

What the user sees now is what you defined beforehand: a landing page, a video, a contact form, your LinkedIn profile, a voucher code, a digital business card (vCard). The possibilities are as broad as the internet itself.

Who Decides Where the Chip Leads?

The key point: the URL itself is not stored directly in the chip. What is stored is a link to a redirect system. You configure in a dashboard where this link redirects to. And you can change that at any time, without touching the promotional item.

In concrete terms: you produce 500 NFC ballpoint pens in March for a trade fair. In March, they point to your trade fair landing page. In April, you want to draw attention to your new product. You change the redirect in the dashboard. The pens now point to the product page. The pens themselves have not changed.

This is a fundamental difference from classic promotional items. A printed ballpoint pen with an old logo or wrong phone number is waste. An NFC ballpoint pen with the wrong redirect is one dashboard click away from being corrected.

Does the Chip Read Data from the Smartphone?

No. This is a common misconception that concerns many users. The NFC chip in a promotional item only transmits. It receives nothing from the smartphone. It does not read your phone number, device data, or personal information.

The interaction is one-directional: chip sends URL, smartphone opens URL. From a data protection perspective, this moment is unproblematic.

What happens on the landing page afterwards is a separate matter. Cookies, tracking pixels, forms: these are fully subject to the GDPR (in the EU) or the DSG (Data Protection Act in Switzerland). Anyone using NFC promotional items and collecting data on the target page must implement this correctly. Cookie banners, privacy notices, legally compliant analytics. This is not an NFC-specific problem, but the same requirement as for any other website.

What Distinguishes NFC from a QR Code?

This question always comes up. Both lead to the same target page. Both are more cost-effective than having no digital component at all. But the user experience is different.

With a QR code, you have to actively open the camera, hold the code in frame, focus, and then tap the link that appears. Three to five seconds and several deliberate actions.

With NFC, you hold your smartphone up to the object. Done. One action, under one second.

That sounds like a small difference. In practice, it has a significant impact on usage rates. NFC typically outperforms QR codes in interaction rate by a factor of 2 to 4. The reason: the barrier is lower. Someone who invests one second does so more often than someone who has to invest five.

According to current industry data, 94 percent of marketers use QR codes in campaigns. NFC is the next logical upgrade. Not as a replacement, but as a complement. Many smart promotional items combine both technologies: NFC for smartphone users, QR as a fallback.

Can the Chip Be Manipulated or Damaged?

Two legitimate questions.

On manipulation: NFC chips can be locked after writing. This is called write protection. Once locked, no one can change the chip content, neither you nor anyone else. For promotional items that should pass on an unchangeable URL, this is the standard. For promotional items that should remain controllable via a dashboard, the chip is not locked, but the link always passes through a controlled redirect system.

On damage: NFC chips are robust. They have no moving parts and no battery. In a ballpoint pen, they easily withstand normal use. Issues can arise in strong metal environments (metal can interfere with the magnetic field) and under extreme mechanical stress. Professional manufacturers take this into account when positioning the chip and selecting materials.

How Are NFC Chips Integrated into Promotional Items?

Depending on the product, different methods are used:

Embedding: In NFC ballpoint pens (from CHF 4.50), the chip is injection-moulded or glued into the barrel. The chip is completely concealed. The promotional item looks like a normal ballpoint pen.

Laminating: In NFC business cards (from CHF 8.00), the chip sits between two layers of material. Paper, PVC or metal as the carrier. Printable on both sides. The chip is invisible.

Sticking: NFC stickers (from CHF 0.80) and NFC labels (from CHF 1.20) are the simplest option. The chip is applied to a carrier film that you can affix to almost any surface. The most affordable entry point into phygital promotional items.

Integrating: With NFC table displays (from CHF 8.00), NFC pin badges (from CHF 3.80) or NFC key rings (from CHF 3.50), the chip is integrated directly during production. The housing or frame contains the chip as a fixed component.

In all cases: the chip is programmed to the desired URL before delivery and tested for correct function.

What Can Happen After the Tap?

The tap is the trigger. What follows depends on you. Here is an overview of the most common destinations:

Landing page with lead form: The user lands on a mobile-optimised page and can get in touch or register directly. Every completed form is a measurable lead.

Digital business card (vCard): The smartphone immediately offers to save the contact. Name, phone, email, company, website. No manual typing, no forgetting.

Video: A product video, a welcome video from a sales representative, or an explainer animation. 100 percent of interactions via smartphone. Video formats are particularly effective here.

Review link: Directly to the Google review page or Trustpilot. The user is one tap away from writing a review. No searching, no detour.

Apple Wallet or Google Wallet: Since iOS 16, NFC taps can directly load a loyalty card, event ticket or voucher into the user’s wallet. No app, no registration. Ready to use immediately.

Calendar link: The user can book an appointment straight away. Particularly effective in B2B sales after an initial contact at a trade fair.

How Do You Measure Whether It Works?

Every NFC interaction generates a data point. Unlike a classic promotional item (no measurable feedback channel), with smart promotional items you know exactly: how many taps in total? At what time? With which device (iPhone or Android)? Which operating system? How long did the user spend on the landing page?

If you activate location-based tracking (GDPR consent from the user is required for this), you also see: where was the tap made?

This transforms a promotional item into a marketing tool with a real dashboard. You can calculate ROI (Return on Investment, meaning the return relative to the budget spent) just like a digital campaign. Classic scatter items do not provide a single one of these metrics.

According to available industry data, tap rates for NFC promotional items at trade fairs and conferences are between 10 and 25 percent of distributed units. At the point of sale between 5 and 15 percent. In direct mail between 8 and 20 percent. These are baseline figures. With optimised landing pages and clear calls to action, these numbers can be improved.
